Records Coordinator

The Records Coordinator is responsible for assisting the Records Manager in supporting the Firm’s records management program, policy and procedures

 Responsibilities:

  • Coordinate work assignments and provide assistance and direction to Records Clerks
  • Communicate with Firm Records managers and staff to support and coordinate records programs and initiatives
  • Assist with records transfers for newly hired/departing attorneys and lateral partners
  • Coordinate departmental projects
  • Conduct weekly secure shred collection from attorney/staff work areas and documents designated for destruction upon request
  • Escort Shred-It tech during pick up of materials for shred from locked consoles and shred bins throughout the office
  • Communicate with outside vendors
  • Facilitate staff and attorney orientations
  • Order/restock supplies
  • Receive and process all incoming active and inactive records in accordance with Firm’s records policy and guidelines
  • Enter client/matter, description, location and originating attorney information into Firm’s Hardcopy Records System (Legal Key)
  • Index documents, assemble Electronic bound files for Capital Market Deals
  • Perform database searches and retrieve files per attorney request
  • Shelves and shifts file locations when necessary
  •  Monitor Records Management email and voicemail and respond appropriately to requests and inquiries
  • Process files for off-site retention; interacts with commercial archive facility
  • Delivers file materials throughout the office

 

Skills and Requirements :

  • High School diploma required; College degree preferred
  • Excellent computer and database skills
  • Experience with Electronic Document Management Database
  • Proficiency with Microsoft Office Applications – Outlook, Excel & Word
  • Proficiency with Windows based & web based applications
  • Knowledge of Legal Key Hardcopy Index or equivalent (preferred)
  • Work experience involving management of records/data; use of barcoding & scanning technology
  • Ability to lift and move file materials (boxes, documents, folders) weighing up to 35 pounds
  • Ability to assemble and pack storage boxes
  • Professional demeanor and team player
  • Organized, focused and detail-oriented
