Records Clerk

The Records Clerk is responsible for supporting the Firm’s records management function


  • Promotes and implements Firm’s records management program
  • Maintains professional, service-oriented work environment
  • Receive and process all incoming active and inactive records in accordance with Firm’s records policy and guidelines
  • Enter key client/matter information into Firm’s Records Hard Copy Database (LegalKEY)
  • Enter key client/matter information into Firm’s Document Management System (IManage/DeskSite)
  • Maintains files in good physical condition (replacing worn or missing folders, labels, etc.)
  • Filing folders on Shelves in numerical order and shifting files on shelving
  • Monitor Records Management email and voicemail and respond appropriately to requests and inquiries
  • Process files for off-site retention; prepares files for warehouse storage
  • Delivers and picks up file material throughout the office
  • Interacts with commercial archive facility personnel
  • Receives, transports and stages boxes of files
  • Retrieves on-site and off-site files
  • Relocates files from one area to another as required
  • Researches client matter file information as needed
  • Reports to Records Manager, Global Records Manager and Office Administrator
  • Performs tasks, responds to requests and provide assistance as required by the Firm
  • CD Production of Final Closing Documents as needed


Physical Requirements:

  • Able to lift file material (boxes, documents, folders, etc.) weighing up to 35 pounds.
  • Able to assemble and pack storage boxes
  • Able to use step stool: reaching and bending to access files at various heights
  • Able to use computer keyboard for extended periods of time on a daily basis
  • Able to answer telephone and communicate with attorneys, paralegals, secretaries and administration staff
  • Organized and detail-oriented
